Forms and email

The project-start form and any email exchanges with you collect the information you voluntarily provide: project type, location, contact details, and anything else you share as part of your request. As long as the online form isn’t actively connected to a request-tracking system, none of the data entered is sent anywhere beyond Maison Craft directly.

Phone calls

When you call us or we call you, we may take handwritten or digital notes on the content of the call (nature of the project, contact details, follow-up needed). Calls are not automatically recorded.

Customer relationship management (CRM) system

A CRM system is planned to centralize tracking of requests and projects once one is selected and configured. No such system is currently connected to this site or in active use — see “Future changes to this policy” below.

Address and property information

As part of assessing or carrying out a project, we collect the project address and property information (dimensions, condition, existing plans) strictly necessary to prepare a proposal or carry out the work.

Technical project photos

Photos may be taken at the project site for internal technical documentation purposes (existing condition, progress tracking, reference in case of a claim). These photos are not published without your separate consent — see “Consent” below and the project-start form.

Scanning technology (LiDAR) and measurements

Some projects may involve measurements taken using a scanning tool (LiDAR technology), used solely for the project’s technical documentation. This measurement data does not replace an official land survey and is not shared with third parties outside the scope of carrying out the project.

3D design

When a 3D design is produced to visualize a project, the data used (measurements, photos, preferences you’ve expressed) comes from what you’ve provided or from on-site measurements, and is used exclusively to prepare your project.

Quotes, contracts, invoices and payments

Documents related to a quote, contract, invoice or payment contain the information necessary for the transaction (contact details, project address, financial details of the transaction). No card number or full banking information is retained by Maison Craft beyond what the payment provider used requires to process the transaction.

Site analytics and cookies

This site currently uses no advertising cookies or advertising-tracking tools (for example, no Meta Pixel is active). If a traffic-analytics tool is enabled in the future, this section will be updated to document it before it is activated, not after.

Cloud storage, suppliers and subcontractors

Information collected may be stored using cloud services (for example, to host documents, photos or emails) provided by third parties acting as processors on Maison Craft’s behalf. These providers are only authorized to use the information to provide their service to Maison Craft, never for their own purposes.

Automation and artificial intelligence

Maison Craft may use artificial intelligence tools internally (for example, to prepare documents, organize notes or assist planning), under human supervision. No personal information is used to train a public AI model, and no decision affecting your project is made solely by an automated system without human involvement.

Security of information

Reasonable measures are in place to protect the information collected against unauthorized access, loss or disclosure — notably, limiting access to people who need it to carry out your project, and using reputable cloud services for storage.

Transfers outside Québec

Some cloud service providers used by Maison Craft may store information on servers located outside Québec. Where that is the case, Maison Craft ensures those providers offer a level of protection considered equivalent to what Québec law requires before entrusting them with personal information.

Your rights and how to file a complaint

You have, regarding personal information about you held by Maison Craft, a right of access, correction and withdrawal of consent, subject to exceptions provided by law. To exercise any of these rights or to file a complaint about how your information is handled, contact the person responsible identified above. If your complaint isn’t resolved to your satisfaction, you may contact Québec’s Commission d’accès à l’information.

How long information is kept

The periods below are a proposal from Maison Craft, to be validated with a legal professional before any real collection of information is activated. They are not yet final retention periods.

• Project request not converted into a client (form, email): proposed 24 months after the last exchange
• Phone call notes: proposed 24 months
• Active client file (CRM, once in use): proposed duration of the client relationship, plus 3 years
• Address and property information: proposed duration of the project, plus the applicable legal warranty period
• Technical project photos: proposed duration of the project, plus 5 years
• Measurement/scanning data (LiDAR): proposed duration of the project, plus 2 years
• Quotes, contracts and invoices: proposed 6 years, in line with applicable Québec accounting and tax obligations
• Site analytics data (if enabled): proposed 14 months
• Cloud backup copies: proposed purge within 90 days of the source record’s deletion, per the cloud provider’s policy

Future changes to this policy

This policy will be updated before, not after, any new tool or service affecting your personal information is activated — notably a CRM system, an analytics tool, a 3D-design or AI provider, or activation of the online form for sending real requests. The “Last updated” date above will then reflect the change.
